General Terms of Use

Presentation and definitions

Sonar – Digital platform for artists, companies and organizers, hereinafter “Sonar”, is a database that collects shows and Companies from the Italian emerging theatre scene.

Through Sonar, Companies can gain visibility and showcase their works in a protected and receptive context, fully accessible to sector professionals and, in a limited way, to theatre enthusiasts. Full‑length videos uploaded to Sonar are visible only within the platform and accessible exclusively to registered Organizer users.

A Company may register, upload full videos of its productions, complete them with all artistic, technical and logistical information, continually update its profile and data, gain greater visibility by being included in dedicated highlighted‑shows sections, and be contacted by Organizers interested in its work. Companies may also participate for free in calls for proposals hosted on Sonar.

An Organizer, by creating their profile, gains access to additional and sensitive information: contact persons’ details, fees and technical data sheets of the shows, full‑length videos. They can also purchase show performances directly through the Sonar platform.

Paid services include SonarMap, CRM, Management System and Announcement Board.

Sonar is an ever‑evolving ecosystem; new features are continuously developed and will be made available to users after careful testing.


1. Introduction

These General Terms of Use form an integral part of the contracts entered – within the Sonar project – by Companies with Organizers and with Straligut Associazione Impresa Sociale, VAT number 01163570524, headquartered at Via Villa Canina 63/a, Ponte a Tressa fraz., Monteroni d’Arbia (SI) 53014, hereinafter “Straligut”.

These terms are intended to apply, therefore, between Companies and Entities in their mutual relations, as well as in their relations with Straligut, Sonar’s owner.


2. Acceptance of the General Terms of Use

These General Terms of Use must be accepted by acknowledging via the checkbox and constitute a legally binding agreement between Straligut and the user regarding the use of services offered through the website www.ilsonar.it.


3. Changes to the General Terms of Use

Straligut may modify the General Terms of Use at any time.

Such changes may occur due to regulatory or internal organizational changes.

The new Terms will be sent to all registered users, and prior acceptance will be required for continued use of the Sonar platform.


4. Registration and profile creation

4.1. To use the service each Company or Organizer must register, in the person of its legal representative, through the Sonar web‑database interface. Upon registration, a username and password are sent by e‑mail; these are exclusive and usable only by the legal representative.

4.2. Personal data upload is required at registration.

4.3. A privacy notice regarding the above data must be accepted via checkbox.

4.4. The profile can be continuously updated by logging in and clicking on “Profile details”.

4.5. Registered users are bound by the General Terms of Use and can use the service by continuously updating their profile.

4.6. To delete a profile, the user must log into the Sonar site and click the appropriate icon or request profile deletion by emailing assistenza@ilsonar.it. Confirmation of deletion will be notified within 3 working days to the email provided.

4.7. The user accepts sole responsibility for any activity conducted through their Sonar account.


5. Video upload

5.1. On Sonar, users may independently enter all information about their shows and upload videos, for which they must hold the permits required by current law.

5.2. Each video remains the property of its rightful owner under international intellectual‑property rules. The user acknowledges and accepts sole responsibility for uploaded content and consequences of publication. Straligut does not endorse video content and assumes no responsibility for any violation of third‑party intellectual‑property or copyright rights related to Company videos. By accepting these Terms, each Company accepts total responsibility for any violations and their consequences.

5.3. To ensure archive order and completeness, show recordings must be uploaded in full. Partial videos, summary edits, rehearsals, “work in progress” are not allowed unless expressly permitted by temporary calls and contests hosted on Sonar.

5.4. Straligut reserves the right to verify completeness and quality of uploaded videos and may delete or replace them at its discretion. Any incomplete or deemed‑unsuitable video may be removed.

5.5. Videos must be uploaded directly by Companies via their profile section. Videos sent by email or other means are not accepted.

5.6. Companies must upload each performance in a single file; multipart uploads are not permitted. Companies can update, modify, replace or delete videos at any time.

5.7. By accepting these Terms, users authorize Sonar to make a backup copy of the uploaded video, to create a contemporary theatre archive for study and research only.


6. CRM/Management System

6.1. Definition and Purpose of the CRM: Sonar’s CRM (Customer Relationship Management) function is designed to enable users, including companies, individual artists and theatres, to manage their customer relationships effectively and systematically. The CRM acts as an organizational and instrumental system for centralized management of customer interactions.

6.2. Objectives of the CRM:

6.2.1. Organize, monitor and optimize interactions with theatres, festivals and clients.

6.2.2. Allow centralized management of all customer interactions.

6.2.3. Provide a centralized view of activities via an integrated calendar.

6.3. CRM Features:

6.3.1. Manage activities and contacts with clients, including tagging and categorization.

6.3.2. Personalized notification system for alerts related to managed relationships.

6.3.3. Export CRM data in CSV formats.

6.3.4. Integration with other Sonar functions for coordinated client relationship management and converting contacts into negotiations.

6.4. Definition and Purpose of the Management System: The Management System function in Sonar allows users to organize, plan and conclude negotiations quickly and effectively.

6.5. Management System Features:

6.5.1. Real‑time consultation of shows’ availability in the Archive via updated calendars.

6.5.2. Planning and contracting of performances with automatic contract creation exportable and customizable.

6.5.3. Personal area for administrative documents (technical sheets, SIAE data, C1 forms, invoicing, contract templates and archiving).

6.5.4. Multi‑user support per profile for staff collaboration.

6.5.5. Autonomous management of external staff (actors, technicians) via dedicated accounts.

6.5.6. Shared calendars for rehearsals, tours and events.

6.5.7. Synchronization with Google Calendar, iCloud and other external services.

6.5.8. Shared calendars for space management.

6.5.9. Generation of tour summary sheets for events accessible to involved users or shareable externally via link.


7. Streaming

7.1. Definition and Purpose of Streaming: The streaming function allows artists and theatres to organize live, deferred and on‑demand events, free or paid, in order to make theatrical works accessible to a global audience. The platform supports the enjoyment of digital works and new formats in different languages.

7.2. Streaming Features:

7.2.1. Organization of live, deferred and on‑demand streaming events.

7.2.2. Definition of single events or those organized in personalized thematic channels.

7.2.3. Multilingual viewing of digital works.


8. SonarMap

8.1. Definition and Purpose of SonarMap: SonarMap is a database created by Sonar for mapping theatres, festivals and theatrical organizers in Europe. Its purpose is to provide a centralized archive of information about the Italian and European theatre industry, facilitating understanding of the theatrical landscape.

8.2. Objectives of SonarMap:

8.2.1. Map and facilitate understanding of the theatrical territory.

8.2.2. Promote the local and regional theatrical scene.

8.2.3. Identify collaboration opportunities and new partners.

8.2.4. Integrate with Sonar CRM for managing customer relationships, entering profiles and private contacts and assigning tags.

8.2.5. Tags and private profiles and contacts will not be visible to other users nor Sonar.

8.3. SonarMap Content: SonarMap contains information on venues, contacts, subject types (theatre, festival, production centres, residencies, etc.), programmed genres, activity periods, availability of calls and technical specifics of structures.


9. Announcement Board

9.1. Purpose of the Sonar Announcement Board: The Sonar Announcement Board is a virtual space on Sonar, intended for sharing and collaboration among operators, companies and sector professionals. Through the Board, users can post and consult announcements related to tours, offers and job searches, training opportunities, buying and selling goods and services, calls for proposals, travel needs and other communications relevant to the theatrical community.

9.2. Announcement Board Features:

9.2.1. Consulting Announcements: The Board offers simple, intuitive navigation, allowing users to quickly find relevant announcements through:

9.2.1.1. Selection of predefined categories.

9.2.1.2. Keyword filters.

9.2.1.3. Geographical location filters.

9.2.1.4. Each announcement includes a “Contact” button allowing direct messaging to the poster and further communication via email.

9.2.2. Posting Announcements: Posting is regulated by:

9.2.2.1. Users with an active subscription can post an unlimited number of announcements for free.

9.2.2.2. Unregistered users or those without an active Plus subscription can post announcements at a cost of €15 per announcement.

9.2.2.3. To post, the user must provide:

a. A descriptive title;

b. A selected category among those offered;

c. A detailed description;

d. Their name and contact email (if unregistered);

e. A geographic reference location;

f. Relevant images and files.

9.2.4. Announcements are published automatically upon secure and fast payment, where required.

9.3. User Responsibilities:

9.3.1. Announcement Content: Users are solely responsible for their announcements. Posting of illegal, defamatory, obscene, threatening content or that violation third‑party rights, misleading, irrelevant, commercial outside approved categories, or containing malware is prohibited.

9.3.2. User Interactions: Interactions from posting or consulting announcements happen exclusively under user responsibility. Sonar is not responsible for agreements, transactions or disputes between users.

9.4. Moderation and Removal: Sonar reserves the right, at its sole discretion and without notice, to moderate, modify or remove any announcement deemed non‑compliant. However, Sonar has no obligation to actively monitor user content.

9.5. Sonar Liability Limitation: Sonar provides the Board as a sharing tool and does not assume responsibility for:

9.5.1. The truthfulness, accuracy, completeness or reliability of user-posted announcements.

9.5.2. Consequences of using or inability to use the Board.

9.5.3. Any direct, indirect, incidental, special or consequential damages from announcements or user interactions.


10. Hosting Calls for Proposals

10.1. Purpose of the Calls Section: The "Calls" section in Sonar is designed to simplify and make free for registered users the participation in major calls dedicated to emerging Italian theatre. Through this section, users can consult available calls and submit their shows to contemporary theatre projects.

10.2. Features of the Calls Section:

10.2.1. Consult Calls: Registered users can access the section to view open calls selected in collaboration with prominent Italian theatre institutions.

10.2.2. Apply to Calls: Applications are made via the user’s reserved area, as follows:

10.2.2.1. Access Sonar profile;

10.2.2.2. Fill in the call form;

10.2.2.3. Submit proposal.

10.2.3. Calls Dashboard: In their reserved area, users will find a dashboard to:

10.2.3.1. View unsent draft applications;

10.2.3.2. Track historical submitted applications;

10.2.3.3. Manage multiple applications simultaneously.

10.3. User Responsibilities:

10.3.1. Accuracy of Information: Users are solely responsible for accuracy of information provided, including show data.

10.3.2. Compliance with Call Terms: Users must review and comply with terms of each call. Sonar is not responsible for exclusions due to user failure to meet requirements.

10.3.3. Correct Use: Users commit to responsible use of the Calls section per these Terms and Sonar policies. Any misuse that compromises functionality or harms others is prohibited.

10.4. Sonar’s Role:

10.4.1. Facilitation: Sonar acts as intermediary to facilitate connection between users and opportunity-providing bodies.

10.4.2. Call Selection: Sonar selects calls in collaboration with relevant sector institutions but does not guarantee completeness or quality of all calls.

10.4.3. No Guarantee of Outcome: Sonar provides no guarantee on success of applications. Selection remains solely with the call bodies.

10.5. Sonar Liability Limitation for Calls: Sonar is not responsible for:

10.5.1. Accuracy, completeness or timeliness of call information as provided by bodies;

10.5.2. Changes, suspensions or cancellations of calls by bodies;

10.5.3. Decisions by bodies on applications;

10.5.4. Any direct, indirect, incidental, special or consequential damage from participation or non-participation.


11. Liabilities attributable to Straligut

Straligut shall not be liable — by way of example and not limited to — for:

omissions by Organizers;

negligence or omissions by third parties;

force majeure or unforeseen events;

use by the Company of unsuitable, flammable or otherwise dangerous materials, structures and/or equipment;

theft-related damages or losses;

Extra-contractual liability applies equally. Liability for support personnel is expressly excluded.


12. Jurisdiction

12.1. The relationship between the client and Straligut is governed by Italian law. Any dispute related to this contract shall be subject exclusively to the jurisdiction of the Court of Siena.

12.2. Should an Italian Court with jurisdiction determine any provision of these Terms invalid, that provision will be severed without invalidating the remaining provisions, which shall remain valid and enforceable.


13. Miscellaneous

13.1. These General Terms of Use constitute the entire legally binding contract between the user and Straligut regarding the Service and supersede any prior agreement.

13.2. The user agrees that Straligut may send communications, including regarding term changes, via email, ordinary mail, or posted on the Service.

13.3. Straligut grants search engine operators permission to spider and index publicly available material on Sonar, but not to create cache copies or archives. Straligut reserves the right to revoke these permissions generally or in specific cases.

13.4. Sonar is a continuously evolving project; the user acknowledges and accepts that the form and nature of services may change without prior notice.

13.5. The user acknowledges and accepts that Sonar may (temporarily or permanently) suspend or discontinue any or all services for them or general users at Straligut’s discretion, without prior notice.
